Ask what Zen Planner costs and almost every answer you will find says "starting at $99" and stops there. That is the first rung of an eight rung ladder, and for a cheer or gymnastics gym with a real roster it is not the rung you will be standing on. Zen Planner does publish the whole thing, on a separate tiers page most summaries never open. Here it is, read on September 4, 2026, with the arithmetic worked out.
The full Zen Planner active member ladder
Zen Planner prices on active members and states plainly that staff are never counted. That is a meaningful difference from vendors that meter total students on the books, and it favors a seasonal program: athletes who have finished a season and are not currently enrolled are not supposed to be billable.

Essentials is Studio plus the website. Ultimate is Studio plus the website plus Engage. Per member figures are calculated at the top of each band, which is the best case inside that band.
The bundle discount that is never stated in words
Run the subtraction down the columns and two flat numbers fall out. Essentials minus Studio is $99 at every single tier, which confirms the website add-on is genuinely flat and does not scale with your roster. Ultimate minus Essentials is $150 at every single tier. But Engage sold on its own is listed at $249 a month.
The reconciliation is in a footnote: standalone Engage includes a free website. So $249 standalone is really $150 of Engage plus the $99 website you were being sold anyway. Which means if you already want the website, buying Engage inside the Ultimate bundle rather than as a separate line saves you $99 a month. That is $1,188 a year, and the page never says it. It is the same shape of finding as the ClassJuggler band widths: the vendor publishes the numbers honestly and simply does not do the arithmetic for you.
The most expensive athlete you will ever enroll
Tiered pricing always has cliffs, and Zen Planner's are unevenly spaced. The first band is 46 members wide, the next two are 15 each, then 25, then three bands of 50. Narrow bands near the bottom mean a growing program crosses boundaries often, and each crossing costs the full step for a single enrollment.

The practical read for a gym owner: if you are sitting at 99 or 100 active members and thinking about opening one more rec class, the software line moves $480 a year on that decision alone. Not a reason to stay small, but a real number to put in the model, and one that no vendor summary surfaces. It also argues for cleaning up your active list before renewal, since anyone still flagged active from a finished season is being counted.
What the add-ons cost
All four extensions are flat monthly prices that do not move with your tier, which means they hurt proportionally more at the small end. A 40 member gym on Studio at $99 that adds the branded app and the website is at $237, more than doubling the base. A 250 member gym doing the same goes from $269 to $407, a much smaller relative jump.

The New Business Bundle deserves a flag. It is listed at a flat $199 with no tier attached, and at the smallest tier that is $237 of components for $199. At the largest tier the same three products would be $427. A flat $199 across the whole ladder is not plausible, so there is almost certainly an eligibility rule attached to the phrase "new business" that the page does not spell out. Ask what it is before you build a budget on it.
The number that is not published anywhere
Payment processing is listed inside Studio with an asterisk and the line that additional charges or fees may apply. No percentage, no per transaction fee. That is the industry norm here rather than an outlier, since ClassJuggler, iClassPro, Gymdesk and Jackrabbit all decline to publish card rates too, but it is the line item most likely to dwarf everything above it. A program collecting $250,000 a year in tuition pays roughly $7,500 in processing at 3 percent against $2,748 for a year of Studio at the top tier.
Worse, processing fees rarely arrive as an invoice you can file. They come out of each deposit, so the only place the real annual number exists is in the merchant statements themselves, which is why the honest way to check what you paid last year is to pull those statements into a spreadsheet and total the fee lines rather than trusting a rate somebody quoted you on a demo call. Do that once and the software subscription usually stops being the number you argue about.
Is any of this the right shape for a cheer program?
Zen Planner is a capable membership and billing system, and the tier ladder is fairer than most. The question is what it was built for, and the feature list answers that without ambiguity. Belt and skill tracking. Advanced workout tracking. A SugarWOD integration. The customer quote on the pricing page is from the owner of a CrossFit gym. This is martial arts and functional fitness software, sold sideways into anything that takes recurring memberships.
For a cheer gym that means the money half of the job is well covered and the sport half is not there at all. No tryout scoring, no USASF level or stunt progression tracking, no stunt group assignments, no competition season workflow, no way to record which athletes have a standing back handspring and which are cleared for an extended single leg stunt. How it compares on the meter, not the headline
The three vendors a cheer gym usually shortlists are metering three different things, which makes the headline prices useless next to each other. Take a realistic program: 150 athletes across ten teams.

ClassJuggler wins that row outright and it is worth saying so. It is also the least featured of the four, and its published pricing hides an Annual Maintenance Fee it confirms exists and never prices. What to ask before you sign
- What counts as an active member, and how quickly does an athlete drop off the count after a season ends? This is the single biggest variable in your bill.
- What is the card processing rate and the per transaction fee, in writing, for both cards and ACH?
- Are the eligibility rules for the $199 New Business Bundle written down, and how long does that price hold?
- Is there any charge for a second location, since the tiers page says nothing about multi site programs?
- If the tier moves mid month because you crossed a boundary, does the new rate apply immediately or at renewal?
Zen Planner publishes more of its pricing than most of this market does, and that deserves credit. The gaps that remain are the same gaps everyone leaves: the processing rate, the multi site policy and the fine print on the promotional bundle. Get those three in writing and you can actually compare it to anything else.
