How to Organize a Cheer Team, and Every Other Question Coaches Ask

Organizing a cheer team takes four things: one roster, scored tryouts, a weekly practice cadence and a season calendar with every deadline on it. Cheerleaders runs all four in one app from $29 a month. The details, and everything else coaches ask us, are below.

01 Getting set up
How do I organize a cheer team?

Four moves: build one roster with positions and levels, run scored tryouts so placements are fair and documented, set a weekly practice cadence in timed blocks, and put every competition and deadline on one season calendar. Cheerleaders handles all four in one app, so nothing lives in a spreadsheet or a group chat.

How hard is setup?

Your first team is live in minutes. Import your roster from any spreadsheet (Excel, Google Sheets, CSV), pick your season dates and you are done. There is nothing to install and no training course. If you can fill in a score sheet, you can run the whole app.

Does it work for school teams and all-star programs?

Yes, both, on the same plans. Levels, divisions and season structure adapt to school, rec and all-star programs. School coaches get tryout records an athletic director can audit; all-star directors get every team, level and location in one view.

We already use TeamSnap or BAND. Why switch?

Those are fine general team apps, but they do not know cheer. Cheerleaders adds the cheer-specific work they skip: digital tryout score sheets with live rankings, per-athlete skill tracking by level, competition season workflow with music and registration deadlines, and a uniform marketplace. Rosters, attendance and parent messaging are included too, so you are not running two apps.

Can parents and athletes use it too?

Yes. You invite them with their own roles. Athletes see their schedule, skills and lineups. Parents see schedules, reminders and what you choose to share. The coach controls every role and what each group can see. Nobody outside your program sees anything.

02 Data & safety
Is my athletes' data safe?

Yes. All data is encrypted in transit and at rest. Role-based access means only the people you invite see athlete information, and you decide what each role sees. Athlete data is never sold and never used for advertising. Enterprise plans include a signed Data Processing Agreement (DPA) for districts and federations that require one.

Who can see athlete information?

Only people you invite to your program, and only what their role allows. Coaches see their teams. Parents and athletes see their own schedules and records. Judges see score sheets during tryouts and nothing else. Cheerleaders staff do not browse your data; access is limited to support requests you open.

Can I export or delete our data?

Yes. Rosters, tryout results and season records export to spreadsheet files at any time, so your data is never locked in. If you close your account, email [email protected] and we delete your program data permanently.

03 Plans & billing
What does it cost?

Plans start at $29 per month for a single team. Program is $79 per month for multi-team schools and gyms, and All-Star Gym is $199 per month for multi-location gyms. All prices are USD, billed monthly, and you can cancel anytime. No per-athlete fees.

Is there a contract?

No. Billing is month to month and you can cancel anytime from your account, effective at the end of the paid month. Yearly billing is available if you prefer one invoice a year, and Enterprise customers can request annual invoicing.

What is in the Enterprise plan?

Enterprise is for districts, leagues and federations: single sign-on (SSO), granular roles, an audit log, an uptime SLA, a signed DPA and invoicing instead of card billing. Pricing depends on the number of programs, so talk to sales for a quote.

04 Marketplace
How does the uniform marketplace work?

Programs list uniforms, shoes, poms and mats they no longer use. Other verified programs buy them. You list an item with photos, sizes and condition; buyers pay through the platform and the money is held until they confirm delivery. Programs typically recover 40 to 60 percent of original uniform cost.

Is buying used uniforms through the marketplace safe?

Safer than a Facebook group. Every seller is a verified program on the platform, listings show real photos and condition notes, and payment is held until you confirm the delivery matches the listing. If it does not, you get your money back.
