Privacy Policy
This policy explains what data Cheerleaders collects, how we use it and the choices you have. We wrote it in plain language on purpose. Effective date: July 1, 2026.
What we collect
We collect only what we need to run the service:
- Account data. Your email address, name and password when you create an account, plus your program name and billing details when you subscribe.
- Roster and athlete data. Information coaches enter about their teams: athlete names, positions, levels, skills, attendance, tryout scores and uniform sizes. Coaches decide what to enter; we never require more than a name.
- Marketplace data. Listings you create (photos, descriptions, prices) and records of purchases and sales between programs.
- Usage data. Pages visited, features used, device and browser type. We use Microsoft Clarity for this analytics data, including anonymized session replays and heatmaps.
- Cookies. A session cookie to keep you signed in, a security cookie for form protection and analytics cookies from Microsoft Clarity.
How we use it
We use your data to run your account, show your program its rosters, schedules and scores, process marketplace transactions, answer support requests, send service emails (billing receipts, deadline reminders you turn on, security notices) and improve the product based on how it is used. We do not use your data for anything unrelated to running the service.
Athlete and minor data
Most athletes on Cheerleaders are minors, and we treat their data with extra care:
- Athlete data belongs to the program. The coach or director who runs the account controls what is entered, who sees it and when it is deleted.
- Athlete data is never sold and never used for advertising. There are no ad networks on the platform.
- Access is role-based. Parents and athletes see only what the coach shares with them. Judges see score sheets during tryouts and nothing else.
- Enterprise customers can sign a Data Processing Agreement (DPA) covering athlete data handling in detail.
Sharing
We do not sell or rent personal data to anyone. We share data only with service providers who help us run the platform: hosting infrastructure, email delivery and analytics (Microsoft Clarity). Each provider is bound by contract to use the data only to provide their service to us. We may also disclose data if the law requires it, and we will tell you when we are allowed to.
Retention
We keep your data while your account is active. If you cancel, your program data stays available for 90 days in case you come back, then it is deleted from our production systems. Backups are purged on a rolling 30-day cycle after that. Billing records are kept as long as tax law requires.
Security
All data is encrypted in transit (TLS) and at rest. Access inside your program is role-based and controlled by you. Access inside our company is limited to staff who need it to answer a support request you opened, and it is logged. We review access controls regularly and patch promptly.
Your rights
You can access, correct, export or delete your data at any time. Rosters and season records export to spreadsheet files from your account. For anything else, including full account deletion, email [email protected] and we will act on the request within 30 days. If you are a parent and want your child's data removed from a program, contact the program's coach first; if that fails, email us and we will help.
Children's privacy
Accounts are created and controlled by adults: coaches, directors and parents. Athletes under 13 do not create their own accounts; their information is entered and managed by their program under parental consent collected by the program. If you believe a child's data was entered without proper consent, email [email protected] and we will remove it.
Changes to this policy
If we change this policy, we will post the new version here and update the effective date. For meaningful changes, such as new categories of data or new sharing, we will email account owners before the change takes effect.
